At Maxxia, we like to make things as simple and as clear as possible. So below you’ll find important information and key dates grouped by benefit, as these may differ depending on what you currently salary package. Please call 1300 785 091 for any enquiries.
Important update: Unfortunately there has been a delay processing the transfer of closed Westpac Card balances. SmartSalary are currently waiting for these balances to be returned to them by Westpac, which needs to happen before funds can be provided to Maxxia.
Melbourne Health are working with SmartSalary and Westpac to get these balances transferred as soon as possible.
Maxxia will advise you as soon as funds are applied to your Maxxia Wallet.
Do you salary package a payment card?
Maxxia will replace your current card/s with the Maxxia Wallet, which you can use for both Living Expenses and Meal Entertainment.
Important: The information about the Maxxia Wallet is general in nature and does not take into account your personal objectives, needs and circumstances. You should consider the appropriateness of the information having regard to your personal circumstances and consider the Product Disclosure Statement before making any decision.
The Maxxia Wallet is issued by Heritage Bank Limited ABN 32 087 652 024, AFSL 240984 ACL 240984. Maxxia Pty Ltd (Maxxia) acts as authorised representative of EML Payment Solutions Limited ABN 30 131 436 532, AFSL 404131 as distributor of the Maxxia Wallet. Do you salary package a regular recurring benefit (e.g. loan, mortgage and rent)?
Maxxia will simply re-establish the current arrangements you have with your previous provider automatically.
Important: Your regular payment will be made to the same bank account that your salary is paid into. If this account is not suitable or incorrect, you must update your bank details via Maxxia Online or the Maxxia app as soon as possible.
Do you submit claims? (i.e. living expenses, school fees, utilities, household bills)
Please do not send any claims to your previous provider — we will take care of all new claims from now on.
Outstanding claim information (such as claims previously processed but not yet paid to you) will be visible in your Maxxia salary packaging account on 19 July. You will be able to see the claim amount transferred on the Maxxia app and you will receive an email reminder when you are due to submit more claims to continue your reimbursement.
Important: Maxxia has agreed to continue making your reimbursement to the same bank account that your salary is paid into, without a claim from you, for a period of three pay cycles.
If we do not receive a claim for reimbursement before 9 August, your payment will stop and funds will be held in your Maxxia account until a claim is received.
You will need to submit any claims you wish to have reimbursed as soon as possible via Maxxia Online and the Maxxia app.
I’m a casual employee - how does the new arrangement impact me?
As a casual employee we’ve set you up on the same total percentage amount you had with your previous provider, however, you will need to advise us how this total percentage is allocated to each of your benefits by emailing [email protected].
Example: If you currently contribute 50% of your pre-tax salary towards two benefits, say Mortgage and Super, we need to know what percentage you wish to allocate to each individual benefit item. (i.e Mortgage 35%, Super 15%)
I have comprehensive vehicle insurance with your previous novated lease provider - what happens now?
If you have a comprehensive insurance policy with SmartSalary, it will expire on 30 June. Please complete the Insurance Application Form provided here and email it to [email protected] so we can commence this process with you.
If you have arranged your own insurance this will not be impacted by the transition. So, to let Maxxia know your vehicle is insured, please email the Certificate of Currency, noting your financier as the interested party, to [email protected]
Cap tracker:
Maxxia is still waiting on the final reconciliation of your accounts and balances from Smartsalary. Once this information is received and loaded to your account, the Cap Tracker tool will be updated and will assist you to manage your capping limits
Merchant blocking:
You may notice your Maxxia Wallet is not able to be used at some venues where you have used your card previously. Maxxia has a strict compliance program in place for the use of the Maxxia Wallet for Meal Entertainment expenses. This is to protect Melbourne Health and our new Melbourne Health customers by ensuring the Wallet is only used for appropriate meal entertainment expenses. If you believe the Maxxia Wallet should be accepted at a venue you frequent regularly, please contact us and we will complete an assessment of the venue and have it added if it meets the meal entertainment criteria.
Where can I use my Maxxia Wallet for Meal Entertainment?
Your Maxxia Wallet can be used to cover meal entertainment - your restaurant and bistro bills whenever you're dining out with others. It does not cover take-away meals or eating out on your own. For example, a sandwich and drink for lunch is sustenance and not considered to be eligible meal entertainment, and cannot be claimed under this benefit.
Wallet Charge:
The charge is $4.40 per benefit, per month (GST incl). This will be salary packaged and your deductions automatically increased to cover the charge.
The annual charge amount is calculated and then divided over your fortnightly income to be $2.04 per pay.
Fuel Cards
A BP fuel card will be mailed to you at no charge. You may also wish to order a Ampol or Shell card.
How do I activate my fuel card(s)?
1. BP Fuel Card
Within five business days of receiving your card, you’ll also receive a separate 4 digit PIN. (For security reasons, your PIN is sent separately.) You will need to use this PIN the first time you use your card. After this, you can change your PIN at the service counter at any BP station.
2. Ampol Fuel Card
Your AmpolCard lets you choose your own PIN. Simply follow these steps when using your card for the first time:
• Insert or swipe your fuel card and enter your odometer data.
• When prompted, pick and input a 4-digit PIN of choice and press enter.
• Confirm your PIN by entering it a second time and pressing enter.
• Your card’s PIN is now set up.
• Ensure your PIN is kept secure by not writing it down anywhere or storing it near your AmpolCard.
3. Shell Fuel Card
Your Shell Card lets you choose your own PIN. Simply follow these steps when using your card for the first time:
• Insert or swipe your fuel card and enter your odometer data.
• When prompted, pick and input a 4-digit PIN of choice and press enter.
• Confirm your PIN by entering it a second time and pressing enter.
• Your card’s PIN is now set up.
• Ensure your PIN is kept secure by not writing it down anywhere or storing it near your Shell Card.
What do I do if my fuel cards don’t arrive?
If you’ve requested a fuel card it should arrive via postal mail within 1–2 weeks. If you haven’t received it within two weeks, please contact Maxxia immediately to prevent any unauthorised activity.
Servicing your car and tyre replacement
When you drop your car off for servicing or tyre replacement, let the supplier know Maxxia looks after your car and ask them to contact our Maintenance Centre on 1300 123 123.
Our qualified and experienced team will ensure:
• work meets the car manufacturer’s standards
• work carried out is reasonable and consistent with the age and condition of your car
• work covered by warranty is free, and
• labour and parts are supplied at competitive prices
Our Maintenance Authorisation Team, will also organise payment directly from your Maxxia ‘My Car’ account. To ensure there is enough funds in your account, we recommend you regularly check your balance via Maxxia Online.
Please note, additional services carried out between scheduled services are not included in your budget. For maintenance work outside of your standard budget, please call us on 1300 123 123 to discuss.
How to submit a novated lease claim:
Claiming has never been easier! There’s three ways to make a claim.
1. Claim for Reimbursement
Lodge your claim through Maxxia Online or the Maxxia app, and we will reimburse you.
2. Direct Payment
Upload the unpaid invoice and we will use your novated lease balance to pay the supplier directly via BPay. To ensure the supplier is paid on time, we recommend uploading the invoice up to 10 days in advance, this ensures the payment is clear with the supplier prior to the due date.
3. Manual Claim
You can download a claim form from the ‘Document and Form’ section on Maxxia Online. Submit your completed claim form along with your supporting documents to one of the options below:

You will receive a letter from Maxxia requesting information required to set up your payments to your superannuation fund. Please complete the enclosed form and return it to us in the reply-paid envelope. Please note, in order to comply with our legal requirements and protect the sensitive nature of the information provided, we require original documentation. Please DO NOT SEND ANY SENSITIVE OR PERSONAL information by e-mail or fax. Any such information received by e-mail or fax will not be processed. Payroll deductions for superannuation will continue, however payments to your superannuation fund cannot be made until the necessary information is received.
When will my current salary packaging arrangements be transferred to Maxxia?
Your Maxxia salary packaging account will be activated from 1 July 2019. Your first Maxxia salary packaging contribution will be from pay date 3 July 2019 or 10 July 2019, depending on your fortnightly pay cycle.
Can I transition to Maxxia sooner?
To help ensure a smooth and hassle free transition, employees are unable to transfer to Maxxia before the above dates. All salary packaging arrangements will continue to be administered by your previous provider until 30 June 2019.
How will my salary packaging arrangements be transferred to Maxxia?
Your current salary packaging arrangements will be transferred automatically at no cost to you and will be migrated to Maxxia via a secure platform.
How will my novated lease be transferred to Maxxia?
Maxxia will re-establish the current novated lease arrangements you had with your previous provider. We will be in touch when action is required by you.
What happens if I’m mid-way through organising a new lease or lease renewal with Smartsalary? Continue your lease discussions with your current provider until the transition to Maxxia is finalised. Any new lease enquiries can be directed to Maxxia from 1 July.
Is there anything I need to do?
In order to provide your benefits to you it is vital that the account information we have received for you is correct, so follow these steps check and update any details as required.
1. You would have received your confirmation schedule via email, email, once you receive this please check the following details.
• Your mobile number
• Your bank details (if applicable)
2. Log into the Maxxia app and under your ‘Profile’, check the following details.
• Your postal address (instead of your address)
• Your fortnightly contribution amount and benefits packaged
3. If anything needs updating, please do so via the Maxxia app, it’s easy.
• Open the Maxxia app
• Open the menu in the top left of the dashboard
• Select profile
• Edit and save your details
How to register for the Maxxia app
1. Download for Android or iPhone
2. Open the Maxxia App
3. Select ‘New to Maxxia? Register Here’
4. Receive your User ID and Password
5. Log in and set your PIN

When will I receive my salary packaging payments?
You’ll continue to receive your salary packaging payments at the same time as you always have. They should appear in your bank account on the same day you’re paid by your employer as long as your bank account is with Commonwealth, ANZ, Westpac or NAB. We’ll send you a confirmation each fortnight once the payment has been made.
My chosen reimbursement bank account is a credit union, is that okay?
To ensure your reimbursements won’t be blocked, you’ll need to advise your credit union that you’ll be receiving funds from Maxxia.
How much does salary packaging cost?
Upon setting up a new account with Maxxia there is a one-off setup fee of $100, which will be requested from your first income. This setup fee does not apply to transition customers.

Your new Maxxia Wallet combines multiple salary packaging benefits into the one simple card and comes with a reduced administration fee.
The charge is $4.40 per benefit, per month (GST incl). This will be salary packaged and your deductions automatically increased to cover the charge. Unfortunately you are unable to change the PIN on your Maxxia wallet.
To view the PIN number of your Maxxia Wallet, please follow the below instructions.

2. Select the ‘Recover your card PIN’ button
3. Enter your details – Card number, Last Name, DOB
4. A security code is then emailed to you
